Booking and Cancellation Policy
The Holistic Dog Method

This policy explains how bookings, payments, cancellations, and rescheduling are managed for services provided by The Holistic Dog Method (“THDM”).
These guidelines allow appointments and programs to run reliably while ensuring fairness for all clients.
By booking a service with THDM, you agree to the terms outlined below.
1. Booking and Payment
All sessions must be booked through the THDM booking system unless otherwise arranged.
Payment is required at the time of booking for most services. Your appointment is considered confirmed once payment has been received.
Confirmation details and relevant session information will be provided after the booking is completed.
Some services, programs, or memberships may operate under different payment arrangements. These will be clearly outlined at the time of booking.
2. Cancellation and Rescheduling
If you need to change your appointment, please provide as much notice as possible.
The following notice periods apply:

More than 48 hours notice: your appointment may be rescheduled at no additional cost.

24–48 hours notice: a fee equal to 50% of the session cost will apply.

Less than 24 hours notice or no-shows: the full session fee will be charged.
A no-show occurs when a client does not attend the scheduled appointment and has not made contact before the appointment start time.
These policies exist to ensure appointment spaces remain available to other clients who may be waiting for support.
Behaviour Consultations, Puppy Sessions and Training Sessions
Behaviour consultations, puppy sessions, and private training sessions require payment at the time of booking.
Appointments may be rescheduled once with at least 48 hours notice.
Late cancellations or missed sessions will be charged in accordance with the cancellation time frames outlined above.
Training Walks and Travel-Based Sessions
Training walks and sessions that require travel operate under the same cancellation time frames.
These sessions may occasionally need to be rescheduled due to conditions outside anyone’s control, including weather, environmental safety, or unexpected access restrictions.
Clients may request rescheduling if conditions appear unsafe or unsuitable for their dog. The final decision about whether a session proceeds or is rescheduled sits with THDM.
Packages and Hybrid Coaching Programs
Training packages and hybrid coaching programs reserve ongoing time, preparation, and resources.
For this reason, refunds are not available once a program has begun.
Unused sessions within a package or program cannot be transferred to another person.
Sessions within programs require 48 hours notice to reschedule. Missed sessions or late cancellations will be forfeited.
Programs may be paused for genuine circumstances such as illness, injury, or veterinary advice. Pause requests will be considered at the discretion of THDM.
Group Classes, Walks, and Events
Spaces in group sessions are limited.
Once a place in a group class, workshop, or walk has been booked, refunds are generally not available.
If you cannot attend, please contact us as soon as possible. Where possible we may offer:

transfer to another session
-
credit toward a future event
however this cannot always be guaranteed.
Online Courses and Digital Products
Online courses, digital programs, and downloadable resources are delivered electronically.
Once access to a digital product has been granted, refunds are not available.
If technical issues occur that prevent access, THDM will provide reasonable support to resolve the problem.
THDM Membership
THDM memberships operate on a recurring billing cycle (monthly or yearly depending on the selected plan).
Memberships will renew automatically unless cancelled before the next billing date.
Refunds are not provided for the current billing period once payment has been processed.
Members may cancel their membership at any time, with access continuing until the end of the current billing period.
3. Late Arrivals
If you arrive late to a session, the appointment will still finish at the scheduled time.
Late arrivals may reduce the amount of time available for the session.
If you are more than 15 minutes late, the session may be cancelled and treated as a missed appointment.
4. Missed Appointments
Failure to attend a scheduled appointment without notice will result in the session being forfeited.
Missed appointments are not eligible for refunds.
5. Weather and Outdoor Sessions
Most services are conducted outdoors.
If severe weather or unsafe conditions occur, sessions may be:

rescheduled
-
moved to an alternative location
-
adjusted where appropriate
Clients will be notified as early as possible if changes are required.
6. Exceptional Circumstances
THDM understands that genuine emergencies can occur.
Consideration may be given in situations such as:
-
veterinary emergencies
-
family emergencies
-
emergency service activation
In some cases, evidence may be requested before adjustments are made to bookings or fees.
7. Trainer Cancellations
The Holistic Dog Method reserves the right to reschedule or adjust appointments in circumstances outside our control, such as illness or emergencies.
If THDM needs to cancel or reschedule a session, clients will be offered:

the next available appointment, or
-
a full refund for that session.
8. Safety and Session Conditions
The safety of people and dogs is always the priority.
A session may be ended or rescheduled if:
-
a dog is unwell or injured
-
the environment becomes unsafe
-
safety instructions are not followed
-
relevant behaviour history has not been disclosed
If a session cannot proceed due to safety concerns, cancellation fees may still apply.
9. Behaviour Disclosure
Clients must disclose any known history of:
-
aggression
-
biting
-
severe reactivity
-
safety concerns involving people or other dogs
This information allows training sessions to be planned safely.
Failure to disclose relevant behaviour history may result in the session being stopped for safety reasons.
10. Safety and Handling
Dog training involves working with animals, which can behave unpredictably.
Clients remain responsible for their dog at all times unless otherwise directed.
Clients agree to follow all safety instructions provided during training sessions.
THDM reserves the right to end a session if safety becomes a concern
